About Family Assistance Ministries (FAM): FAM is an interfaith non-profit organization whose mission is to assist those in need in Orange County with resources for food, shelter, and personalized supportive counsel and aid; helping clients bridge the gap from dependency to self-sufficiency. 

Reports to: Housing Sustainability Manager 

Position Summary: The Intake Coordinator plays a pivotal role in supporting the front desk, answering incoming phone calls, and assisting new individual clients with completing intake forms and completing pre-assessment to determine client needs. 

Essential Functions and Responsibilities 

  • Handle the intake process for individuals seeking assistance e.g., answering live phone calls at the front desk, walk-ins, returning calls on the 101-referral line, and responding to email inquiries. 

  • Conduct intake interviews with individuals seeking assistance, gathering information about their needs, listening to their circumstances, and determining eligibility for services. 

  • Assist clients to ensure they receive the support and services they need, including signing up for services, accessing food, meeting with a Housing Case Manager, etc. 

  • Support the front desk volunteers, ensuring the intake process is completed accurately and on a timely basis. 

  • Provide information about available resources such as CalAIM and other services and programs within the agency. 

  • Refer individuals to partners or other agencies for additional resources as necessary. 

  • Check assigned Cal Optima list daily, follow up with those clients, and ensuring notes are inputted appropriately. 

  • Coordinating and handling the emergency food assistance program list. 

  • Maintain accurate and confidential records, including intake forms, assessments, and any progress notes in our internal database. 

  • Collaborate closely with the intake team, Housing Sustainability Manager, and the Programs Team to ensure excellent client service deliverables. 

  • Participate in staff meetings, training sessions, and collaborate with cross-functional teams as needed. 

  • Other duties may be assigned as needed. 

Skills and Abilities 

  • Ability to exercise sound judgment with minimal direction/guidance. 

  • Excellent direct client service skills with ability to work with a diverse clientele, staff, volunteers, and community partners. 

  • Strong affinity towards customer service and handling high-volume phone calls. 

  • Ability to work in a highly dynamic environment is strongly preferred with frequent interruptions and deadlines.

Education and/or Experience 

  • Bachelor’s degree in social work, human services field, or related field highly desirable or equivalent experience. 

  • Minimum 1-3 years of direct service, intake process, or case management experience. 

  • Proficient in Microsoft (Word, Excel, PowerPoint). 

  • Experience working with at-risk, unhoused individuals, families, and persons in crisis is highly desirable. 

  • Knowledge with Housing First Principles and Trauma-informed Care are highly desirable.

Job Types: Full-time. Non-Exempt. 

Pay Range: $21 - $-$24 / Hourlyper hour
